Overview

The Senior Administrative Coordinator will provide high-level administrative and operational support for the Uncrewed Aircraft Systems (UAS) lifecycle, focusing on facilities and infrastructure, manpower planning, operations management, and program support. This role requires a professional with strong organizational, communication, and multitasking skills to ensure seamless coordination of administrative tasks and program activities. The Senior Administrative Coordinator will work closely with government stakeholders and cross-functional teams to support mission objectives and maintain compliance with regulatory requirements.

Responsibilities

Facilities and Infrastructure:

  • Facility Planning: Identify, plan, and develop documentation required to acquire facilities for training, maintenance, and storage to maximize system operation and logistics support effectiveness.
  • Infrastructure Analysis: Assess requirements for permanent and semi-permanent real property assets and infrastructure, including environmental, security, and space needs.
  • Facility Acquisition: Prepare plans for acquiring facilities to enable responsive support across the UAS fleet.

Manpower and Personnel:

  • Personnel Planning: Assist in identifying, planning, and resourcing personnel with the grades and skills required to operate and maintain UAS systems effectively throughout their lifecycle.
  • Documentation Development: Support the development, implementation, and maintenance of manpower-related program documentation, including the Manpower Estimate Report (MER) and Manpower Requirements Criteria (MARC).

Operations Management:

  • Task Management: Develop and maintain task schedules, action item lists, and presentation materials; update leadership on risks and issues with mitigation recommendations.
  • Strategic Communications: Assist in managing media relations, public affairs, and the public release of documentation, videos, and photographs for the UAS Project Office.
  • Facilities Management: Support space design and utilization, movement/relocation management, and employee space use within the Government facility.

Administrative Support:

  • General Administrative Support: Provide clerical and administrative support, including file management, word processing, scheduling, database maintenance, document preparation, and correspondence.
  • Travel Coordination: Create travel documentation, update travel status, and make arrangements for meetings and conferences.
  • Timekeeping Support: Collect and input data for timekeeping purposes, providing analysis and recommendations.

Program Support:

  • Employee Coordination: Manage cradle-to-grave administration for employee in-processing and out-processing, including conducting orientation for new hires and maintaining employee records.
  • HR Liaison: Act as a liaison between the UAS Project Office and higher HQ Human Resource (HR) staff to ensure HR matters are coordinated for completion.
  • Policy and Procedure Maintenance: Maintain and update policies and procedures to ensure compliance and efficient systems.
  • Telework Program Coordination: Serve as the Project Office’s Telework Program Coordinator, ensuring compliance with customer Telework Policy and maintaining telework agreements.

Qualifications

Required:

 

  • Education:
    • Bachelor’s degree in business, management, or a related discipline.
    • In lieu of a degree: 6 years of relevant experience.
  • Experience:
    • Minimum of 3 years of experience gained after obtaining a bachelor’s degree.
    • Expertise in administrative support, facilities management, manpower planning, and operations coordination.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite and database management tools.
  • Security Clearance:
    • Active SECRET clearance required.

Work Location:

  • Primary: Redstone Arsenal, Alabama.
  • Secondary: Authorized virtual work location per customer Telework Policy. Temporary Duty (TDY) may be required at other locations.

Additional Requirements:

  • Strong organizational, multitasking, and communication skills.
  • Ability to work collaboratively in a fast-paced, high-visibility environment.
  • Knowledge of Federal, DoD, and Army regulations related to facilities, manpower, and administrative support.
